Who handles your data?

What we collect
Contact name, company, role, country, professional email and telephone; sector, participation needs and message. Visitor pre-registrations also include visit objectives, role in the project, timeframe and interest in business meetings. Startup requests also include development stage and product details. Partnership requests include objectives, target audience and indicative budget. Speaker applications include biography, proposed session and optional LinkedIn link.
Why we use it
To study your request, discuss participation, organise commercial or editorial follow-up and send an acknowledgement. These forms do not subscribe you to a newsletter or authorise the sale of your details.
Required fields and accuracy
Required fields are marked in the form and needed to process the request. Telephone numbers are stored in international format. Please do not include health data, identity documents or other sensitive personal information in free text.
Access and service providers
Requests are stored in the site database and accessed by the authorised organiser account. They are not automatically published. The application uses the Sites hosting environment and Cloudflare database infrastructure. If the transactional email service is activated, Resend processes the recipient email and the minimal message needed for acknowledgements and internal notifications. The administrator controls CSV exports and must protect downloaded copies.
Retention and deletion
Form security tokens expire after two hours; temporary anti-abuse counters expire after two hours and are cleaned on token generation. The retention period set by Eventa for participation enquiries and their history is 24 months after the last exchange with you. At the end of that period, the organiser is responsible for deleting or anonymising the data, including working exports. Any records needed to meet a legal obligation or establish a legal claim are handled separately for the applicable period. This policy does not mean that automatic deletion or a backup retention schedule is already implemented.
Your requests about your data
Use our Contact page to request access, correction or deletion, or to raise an objection where applicable. State the email used and your request reference if available. We may need proportionate identity verification. Do not send an identity document unless specifically requested through an appropriate secure channel.
Cookies, local storage and external media
The forms use Secure, HttpOnly, SameSite cookies for anti-abuse protection. Your language choice is stored locally in your browser. The homepage video is hosted by YouTube (youtube-nocookie.com); the video may contact that provider when loaded. Google Fonts is used for typography. These external services have their own data practices.
Security and international processing
Access control, server-side validation, origin checks, rate limits and audit records help protect requests. They cannot guarantee absolute security. The organiser must confirm the data-processing agreements, actual hosting locations, any international transfer safeguards and the legal framework applicable to its activities.
